Registration Information for CLAY 2023

Fees & Deadlines

Home Teams who complete the entire registration process between February 1,
2023 and April 30, 2023 will pay a registration fee of $575 per participant.
This fee represents the cost of the gathering and is not subsidized.

After April 30, 2023, registrants will pay the regular registration fee of $650 per participant. The registration deadline is June 30, 2023. After this date, PHTLs interested in bringing a Home Team to CLAY should first contact the Registrar to ensure there is still space available.

  • Programming – all of the activities that take place during CLAY
  • Accommodations in Laurier Residence from Thursday, August 10 to Sunday, August 13
  • Meals – three meals per day from Dinner on Thursday through Lunch on Sunday
  • Transportation to all scheduled activities during the gathering
  • A Branding Kit – So your Home Team can use the downloadable logos and images to create your own swag! Watch this Space!

During CLAY, you’ll get to take part in a variety of activities including Large Group Gatherings (storytelling, drama, music and more), worship, smaller group activities with a chance to meet other youth from across Canada, off-site activities and late-night events.

NOTE: While the primary language of CLAY is English, we make every effort to connect Home Teams that speak other languages. If you would like us to connect you with another Home Team whose primary language matches yours, please email the Registrar [email protected].

Travel

There are two airport options for flights for CLAY. These are listed below:

*Please note the codes below are for Toronto Pearson, and won’t work for Kitchener/Waterloo, however some flights are cheaper and the location is physically closer to CLAY 2023.

GO Transit

GO Bus

  • The GO Bus stops at Toronto Pearson Airport Terminal 1 on the ground level
    between columns Q2 to Q4. This bus runs hourly on weekdays and weekends,
    and every 30 minutes during weekday rush hours. You can buy GO Transit
    tickets at the vending machine in Terminal 1 on the ground level. Choose
    Wilfrid Laurier University as your destination. You can calculate your fare and
    plan your trip online. The rate is approximately $18 one way, with taxes
    included, but is subject to change.
  • Take the GO Bus Route 40 – Hamilton GO, exiting the bus at Square One GO
    Terminal, where you must disembark and transfer to GO Bus Route 25 – U of
    Waterloo, exiting the bus at Wilfrid Laurier University. This stop is adjacent to
    the Waterloo campus entrance at the corner of University Avenue and Hazel
    Street.
  • The trip from the airport to the Waterloo campus is about two-and-a-half
    hours.

Go Train

  • There may be GO Train options available from Union Station to the Kitchener
    GO Terminal. The trip on the GO Train will take approximately two hours.

Airways Transit

  • Airways Transit is the premier provider of airport ground transportation serving the Greater Hamilton-Wentworth region, the cities of Burlington and Oakville and the Waterloo Region including Kitchener, Waterloo, Cambridge and surrounding areas. We provide door-to-door shared ride and private vehicle transportation to and from Lester B. Pearson International Airport in Toronto. Via Train

  • You can take a train from Union Station to the Kitchener Via Rail station for about
    $36 (price subject to change). Once you are at the Kitchener station, you can use
    Grand River Transit, a taxi or a rideshare service of your choice to get to Waterloo.

Arriving by Vehicle: Car or Bus 

If you are arriving by vehicle either car or Bus

  • Free parking is available at Wilfrid Laurier University in designated lots, for guests
    staying in residence.
  • If you are traveling to CLAY by bus, contact the Registrar for more information on
    bus parking.

Accommodations

Accommodations at CLAY 2023 will be in the residence buildings at Laurier, right in the heart of all the action!

Your registration fee includes accommodations for three nights, checking in on Thursday, August 10 with check-out on Sunday, August 13. Complete your registration early to reserve your Home Team’s space!

In making the room assignments within the residence, we will make every effort to keep PHTLs, HTLs and LITs as close to their Home Team members as possible. Rooms at Laurier are single rooms and a shared bathroom for every two rooms. We follow best practices with regard to safe room assignments (for example, Youth and Leaders will not be assigned rooms where they are sharing a bathroom). 

Please enter preferences and any other pertinent information we will need when assigning roommates in the Comments section of the registration form. Residence space is limited at this venue; however, we will try our best to accommodate rooming preferences. 

Given our desire to maximize participation and our mandate to provide a safe space for every participant, CLAY reserves the right to make room assignments. In some cases, it may be necessary to share space with members of other Home Teams. The Registrar will work with HTLs to confirm these arrangements.

Requests to be placed near another Home Team will be accommodated where possible. Please list the Home Team Number of the group (if they have already registered and received their number) or its PHTL’s name in the Comments section of the registration form. 

All breakfasts, lunches and dinners, from Thursday’s dinner to Sunday’s lunch, are included in the registration fees. 

Please ensure that each person within your Home Team indicates on their registration any special dietary needs or food allergies, so that they can be accommodated during the gathering.

Arriving & Leaving CLAY

Please plan to arrive on the afternoon of August 10th. Dinner that day (Thursday) is included in your registration fee, which will be followed by the first large group gathering (LGG).

If you are planning some additional holiday time prior to or after the gathering, you will be responsible for all of your own arrangements, including accommodations.
